Board of Trustees' Meeting Minutes
November 13,2023 9:00 am

Call to Order
The meeting was called to order at 9:02 a.m. by Courtney.
Approval of Minutes
Minutes from October 2023 meeting were approved. Motion for approval by Alethea, second by
John.
Manager Updates
Jeff
• Jeff will be presenting the 2024 Library budget to City Council tonight. The budget is flat for
discretionary funds. The increases are in line items that are out of our control (utilities,
benefits, etc.).
The Friends budget was approved. The Foundation budget is nearing approval. The Manieri
budget committee meets tomorrow for a budget planning meeting. The Maritime budget will
remain essentially the same as this year.
• The Board opening has not been advertised yet. After a brief discussion about whether we
should post it immediately or wait until after the holidays, the board decided to post the
position now and screen applications as they come in.
The managers attended a Narcan training put on by the Dept of Health. The training will be
offered to the rest of the staff at our monthly staff meeting. It is optional and no one is
required to attend the training or use the Narcan if they feel uncomfortable with it.
• We reviewed the most recent press release for events and information.
• The Library will be at Winter Wonderland creating an Arctic Cave to tie in with Adventure
Day. Winter Wonderland is December 8 and 9.
Stacy
• The Library Code of Conduct was updated this past month. The goal was to simplify the
language and rephrase it to the positive, add graphics, and make it easier to read and
understand. After review of the document, the Board voted to accept the updated Code of
Conduct as it was presented. The motion to approve was initiated by Alethea, seconded by
Nancy and passed unanimously.
• Children's Area update: The boat is in and very popular. The children's staff is working on
stocking the boat with a variety of books for kids to read. The books will be "non-hold"
books, meaning they will not be able to have holds placed on them from the catalog and will
be "first come, first served" in the boat.
• The children's area is a play-based area, particularly because of its position as a Family Place
library.
• We've added Movement Storytime. 44 people attended the last one, and the next one will be
in December.
• We'll be having more programming during Winter Break than ever before. One fun
program will be creating an escape room that will be used on Adventure Day.
• We may add an afternoon storytime during the week or on Saturdays.
• We will be having a winter reading program in partnership with Pelican Bay Books. It will
be penguin-themed and everyone who participates will receive a book.
Trish
• Trish will be taking over all Adult programming in 2024.
• We'll be having a local author program at the end of November called "Telling Your Story".
Other winter activities include Elf Storytime and a winter craft night.
• Book Club is being absorbed by the Library and will be a Library program in 2024. They
have added a meeting in December for a social hour.
• Tech Services is catching up on the backlog of processing.
• All grant technology has been received. We now have a Smartboard and an Owl for
virtual/hybrid meetings.
Partnership Updates
• Foundation
o John: The end of September investment balance was $2.9 million.
o Hoopla costs were $25,811 at the end of September; the foundation increased the
budget to $35,000 for this year and will further increase to $40,000 for next year.
After next year they will re-evaluate Hoopla budget, costs, usage, etc.
o Underwood is ready to meet with Jeff to present the teen area plans.
• Friends of the Library
o Nancy: The Friends elected new officers for 2024, as follows:
■ President: Peter Allen
■ Vice President: Rachelle Kierulff
■ Treasurer: Hal Rooks
■ Secretary: Taya Huntley
■ Corresponding Secretary: Jennifer Gorlach
o Fundraising: The Friends received an anonymous matching donation of $10,000.
$2,000 has been received so far.
o There will be a book sale on December 9.
• Manieri
o The Jazz Walk will be the first weekend of March, 2024.
o Jingle Jazz is December 22. Second Sunday Jazz is December 10 and the Jazz Lecture
is December 7.
Ongoing Business
• The archive project has stalled with the departure of Christina. Nancy will talk to Susan
Fahey from the FOL regarding archiving.
• Bridging the Gap with APL/ASD: Stacy spoke with the 4th grade teachers last week to
collaborate on Library usage. Nancy will talk with Stacy about ideas she has using
volunteers.
New Business
• Nancy confirmed the Board's interest in being Library advocates in the community and being
present at a variety of community events. The managers will let the Board members know
monthly which upcoming events would benefit from a board member presence. Initial
conversation resulted in Alethea volunteering to attend Craft Night on December 13,
Courtney helping set up and attend Winter Wonderland on Friday. Other events include
Trivia night and Adventure Day in February.
General Board Business
• John will be out of town January, February, and March. He will attend the Board meetings
virtually.
• Alethea will be out of town for the January meeting.
The meeting was closed by Courtney at 10:16 a.m.
The next meeting is December 11 at 9 a.m. in the Community Meeting Room.
