HomeMy WebLinkAbout2024-09-09 Library Board of Trustees Minutes Approved Board of Trustees’ Meeting Minutes September 9, 2024 9:00 am Board of Trustees Attendees: Courtney Orrock, Briana Alzola Lindquist, Alethea Fleming Absent: John Shafer Library Attendees: Michelle Hanna, Stacy Paull, Trish Wilson, Diana Farnsworth, Jeff Vogel Absent: Sydney Brady Guest(s): Jhana Shimizu, board member-elect Call to Order The meeting was called to order at 9:10 a.m. by Courtney. Approval of Minutes Minutes from August 2024 meeting were approved. Motion for approval by Alethea second by Courtney. Manager Updates Jeff • Jhana Shimizu and Mike VanQuickenborne have been selected as our new Board members. They will be confirmed by City Council tonight. Jhana will begin immediately to fill Nancy’s position that was vacated in February, and Mike will begin in January when John’s term ends. • Consortium update: the attorneys for the different cities have been working on the contract language for the consortium agreement. That has slowed the process a bit. • Jeanne from the Washington State Library can’t offer funding to support the ILS transfer until there is an agreement in place, so it is likely that the consortium won’t launch for another year. We will talk to our current ILS provider about pro-rating our billing until we make the switch. • Budget update: the DIS fund list has been turned in to IT and replacements have been requested. • September 23 is the due date for all discretionary funds spending for 2024. • Teen Area update: The MOA will be going before Council on September 16th. All council members have been provided the necessary information and an opportunity for asking questions regarding the project so there shouldn’t be any surprises when it comes up for approval. • Jeff met with Hal (FOL treasurer) and Mary Fisher (upcoming FOL treasurer nominee). It is anticipated that Mary will take over Hal’s duties after the election in November. Diana • Summer reading is wrapped up. • There is an open house at AHS and AMS this week • Stacy and Diana will be attending a state training for running games like D&D at the Library. Diana will be paying for D&D moderators to run campaigns. There will be 3 one shot campaigns at the initial start up game on September 17th, and after that Diana will work with the teens and moderators to plan more based on feedback. • Teen writing group starts on September 18th. • Events to look forward to this fall include Observe the Moon and the Haunted Walk. Stacy • Summer reading has come to an end and we are already prepping for fall programs. • The accessibility/dyslexia-friendly books are all out in circulation. They are shelved in their regular sections but marked with a lime-green label for easier identification. • The Library Card design contest is ready for the next step. Trish will be taking the design submissions to the Arts Council to narrow down to a manageable voting slate. The winning designs will be announced at the end of September/early October. • Family place begins next month. • The holidays will look a little different this year with a more party-focused event instead of a storytime. There will be a Halloween party in the Children’s Library, and for the holidays there will be no formal Elf Storytime (but we hope Buddy the Elf will still attend the party). These changes are due to past attendance as well as funding. Trish • Adult summer reading had a great turnout. 205 people participated by taking reading sheets and 56 people returned them. Prizes have been awarded. • Trish is in the early stages of applying for a technology and literacy grant through the PLA, similar to last year’s grant. This grant will focus on “Train the Trainer” materials to train our staff to better help patrons with technology conundrums. • IT/APL changes coming up: IT will be rolling out 2-factor authentication requirements, as well as universal password software. • We’re cleaning up the catalog and doing a little inventory auditing. • We are processing more puzzles, games, and a third telescope. • The Arts Commission helped facilitate the painting of a portion of the sidewalk near the playground. The kids submitted their artwork and adults painted it on the ground. • The September calendar is packed with exciting programs and events, including: o Fall gardening program on the 4th o Jewelry workshop on the 18th o Register to vote day on the 17th o Volunteer Fair on the 21st • Winter Wonderland planning has already begun. The dates for WW are December 13-14. Passport Fair Update • The passport fair was well attended with over 30 applications processed and another 30ish renewals facilitated. Those that attended expressed their thanks for the option to come in without an appointment. Partnership Updates • Foundation o The foundation meeting is next week, so more news on foundation activities will be available at next month’s meeting. • Friends of the Library o The Board is working on their annual appeal letter. o The Friendship has been having monthly sales to move the books. • Manieri o Second Sunday Jazz continues to be a popular and well-attended event. Yesterday’s artist was Joan Penney, next month will be Greta Matassa. o Jazz lectures resume this month with Kay Ray presenting “Ernestine Anderson: There Will Never Be Another You”. Next month will be Brent Jensen featuring “Alto Madness: Legendary Jazz Alto Saxophonists”. o Jazz Walk 2025 planning is already underway. • Maritime o The shelving has been received by the City Facilities department and will be installed in the near future as time permits. Ongoing Business • Jhana introduced herself to the Board and looks forward to serving the Library in a new capacity. She was formerly a Library Associate at APL for nearly 2 years. The meeting was closed by Courtney at 10 a.m. The next meeting is October 14th at 9 a.m. in the Community Meeting Room.
